Operations for service businesses

Between the phone ringing and the check clearing, you’re losing money.

Missed calls. Quotes that sit for four days. Invoices nobody chased. Anything that only happens because someone remembered. TangentSync finds where the money leaks and fixes how the work runs. We build the website too, but it’s just the front door.

Every call returned by the next business day.

What gets fixed

The money is lost in four places behind the front door, and then in how the whole thing runs. It could be an HVAC shop or a physical therapy clinic, a landscaper, a music studio, or a nonprofit. Different work, same four leaks.

01

Intake

Before

14 of 38 calls a week go to voicemail.

The call comes in while the owner is on a roof or the front desk is with a patient. Voicemail is where it goes to die. A missed call gets a text back inside a minute, a callback the same day, and a log, so you know what you missed.

Every missed call, texted back and written down.

02

Quoting

Before

Four days from the visit to a written number.

A quote that takes four days is being shopped. A rate that reads differently on two pages is a customer calling to ask. The number goes out the same day, from a template, with the prices you actually use.

Fig. 2.2 · Quoting, after

Four days became seven hours.

03

Scheduling

Before

The schedule is in a notebook, and in one person’s head.

Jobs booked by text and tracked in a notebook get double-booked. Lessons that live in one person’s head stop when that person is out. One calendar everyone can see, and the customer gets a confirmation nobody typed.

Fig. 2.3 · Scheduling, after

One calendar. Two double-bookings a month became none.

04

Invoicing and follow-through

Before

23 days from work done to paid.

An invoice sent when someone remembers gets paid in three weeks. A raw payment link pasted into an email gets ignored. The invoice goes out the day the work is done with a pay button, and the review gets asked for while the customer is still happy.

Fig. 2.4 · Invoicing, after

Paid the same night, and the review asked for while they were still happy.

Every fix is an existing tool set up properly, not custom software, and you could run it without us.

Then

Running it without you

This is the difference between TangentSync and a web designer.

Once the leaks are fixed, the way it works gets written down. Who does what. How a job moves from the first call to the check clearing, so a new hire can follow it. Five numbers on one sheet, checked every Monday in two minutes. The business runs the same whether the owner is on a job, on vacation, or getting ready to sell it.

What you actually get

The diagnostic is one page. Where the money leaks, who owns what, and the fixes worth doing first. This is what one looks like.

How it works

  1. Call

Twenty minutes. We ask what isn’t working and mostly listen. First question, every time: are you turning work away, or could you take more? If you’re already drowning, more calls is the worst thing anyone could sell you.

  2. Diagnostic

A short, paid look at how the work runs, written up on one page like the sample above. Paid on purpose. It is not a free audit that turns into a pitch, and it’s yours whether or not you hire us for the fix.

  3. Fix

Fixed fee, scoped from what the diagnostic found, half up front. You know the number before anything starts. If you want, we keep it running after, so the fix doesn’t turn back into the old problem in six months.

No number before the diagnostic. Push for one on the phone and you’ll hear that we need to understand the problem first, then you’ll get something specific.

Who’s behind it

Twenty-five years aligning product and operations at Freddie Mac, a national mortgage lender, a city housing department, and a national housing nonprofit, at a scale where a broken handoff between two teams costs real money and someone answers for it in a room. TangentSync is that work pointed at businesses that have never had anyone look at them this way.

You have been sold marketing. You have probably never been sold operations.
